Create Asset

The Assets menu is used to create and manage the company's fixed assets. These assets can be checked-out to employees, customers, other assets  and other locations. Clients can also buy or rent or booking.

This screen will display all information related to fixed assets such as: Asset name, image, status, location (location of the asset to be checked out), default location ( where the asset was selected when creating a new one), number of check-out/check-in, last audit, next audit date, etc...

Add New Asset

  • Step 1. Go to Assets menu under Fixed Equipment module from the left sidebar
  • Step 2. Click on the Add button on the top.

  • Step 3. In the Add asset popup, fill the following details:
     
    1. Asset name: The name/title of the asset. Used for identification in all reports and transactions.
    2. ModelsSelect from predefined models created in the “Models” settings. Each model defines general properties of the asset type.
    3. StatusSelect the current status (e.g. Available, In Use, Under Repair, etc.). Statuses are created under “Status Labels”.
    4. SupplierVendor or supplier from whom this asset was purchased. Pulled from the Suppliers setting.
    5. Purchase date: Date the asset was purchased. Used in depreciation
    6. Order number: Purchase order number related to the asset.
    7. Purchase cost: Cost of the asset at the time of purchase. Used for depreciation, asset value. 
    8. LocationsCurrent (actual) location of the asset. Used for asset tracking. 
    9. Warranty: Duration of warranty for this asset (in months or years).
    10. Country: Country where the asset is physically located or registered.
    11. Requestable: If enabled (checkbox), employees can request this asset through the internal Requested menu.
    12. For Sell: If checked, this asset will be available for sale in the Client Portal. Requires you to enter Selling Price
    13. For Rent: If checked, this asset can be rented by clients via the Customer Portal. Requires: Rental Price, Minimum Renting Period, Unit (e.g., Day, Week, Month)
    14. Description: Optional field to provide any notes, technical info, or background details about the asset.
    15. Serial Number tab: Each serial number corresponds to one physical instance of the asset. You can create multiple assets by entering multiple serial numbers. 
      Click  to add new row.

  • Step 4. Click Save button 

Edit Asset

To edit the details of an existing asset:

  • Step 1. Go to Assets menu under Fixed Equipment module from the left sidebar.
  • Step 2. Hover over the asset to be edited and click Edit

  • Step 3. Make the necessary changes.
  • Step 4. Click Save

Delete Assets

    If an asset is no longer operational, you can delete it. To delete a asset:

    • Step 1. Go to Assets menu under Fixed Equipment module from the left sidebar
    • Step 2. Hover over the asset to be deleted and click  Delete

    • Step 3. Confirm your selection in the following pop-up. The asset will be deleted.
