Step 1. Go to Quality module → Checks → Click “New” to create a new Quality Check
Step 2. In the Add Quality Check, fill in the following detail:
Quality Check Number: Automatically generated using the prefix defined in the system settings. You may manually override the number if needed.
Quality Control point (Optional): Select an existing QCP if this Quality Check is based on a predefined control point. If a QCP is selected, several fields such as Item, Control per, Operation, Type, Instructions, Message If Failure, and Note will be automatically filled using QCP values.
Name: Enter the name of the Quality Check.
Item: Select the product being inspected. If a QCP is selected, this field will be auto-filled.
If left blank, the check can apply to all products within the selected operation.
Control per: select an option from the drop down. This field will auto-fill if a QCP is selected
Operation: Check applies to the entire operation (ex. delivery order) and all products within it.
Product: Check is performed for each unit of each product involved in the operation. (ex. every unit of a product within a delivery order).
Quantity: Check is performed based on quantity — either fully or partially using a percentage. (ex. one check for five units of a product within a delivery order).
Partial Transfer Test (only for Quantity control): Enable this checkbox to activate partial quantity inspection. A field labeled Percentage (% of products) will appear — enter the percentage of the product quantity to inspect.
⚠️ If the Partial Transfer Test box is not checked, a quality check will be generated for the entire quantity of the product.
Failure Location(Visible when Control per = Quantity): Defines where failed items should be transferred.
This location must be selected from warehouse, and the list is created from the Warehouse menu in the Inventory module.
Operation: Select the operation that triggers the quality check. If a QCP is selected, this field is auto-filled.
Receipts: → Field Goods Receipt appears → Select a relevant Inventory Receiving voucher.
If an Item is selected, only matching goods receipts will appear.
Internal Transfers: → Field Internal Delivery appears → Select a relevant internal delivery voucher.
Item filter applies as above.
Delivery Orders: → Field Goods Delivery appears → Select a relevant Inventory Delivery voucher.
Item filter applies as above.
Manufacturing: → Field Work Order appears → Select a relevant manufacturing work order.
If a product is selected, only work orders for that product will be shown.
Team: Assign a Quality Control Team responsible for managing the Quality Check. Team list is configured under Settings → Teams.
Type: Select the inspection method. Each type determines the data input required during the check:
Instructions: Provides detailed instructions for staff on how to perform the quality check.
Take a Picture: Requires the operator to attach a photo of the product for the quality team to review later
Register Consumed Materials: Allows the operator to log materials that were consumed during the process.
Register Production: Requires the operator to record the quantity of finished products, including serial or lot numbers.
Pass Fail: Simple evaluation to confirm if a product passes. If selected, the “Message If Failure” field will appear, allowing you to define guidance for failed results.
Measure: Requires the operator to take and record a measurement. The result must fall within an acceptable range for the check to pass.
Selecting this type will display the following additional fields: Type of Unit of Measurement, Norm, Unit of Measurement, Tolerance From, Tolerance To, and Message If Failure.
Type of Unit of Measurement: Select from predefined unit types
Norm: Target (standard) value
Unit of Measurement: enter the app ropriate unit name, e.g., mm, kg.
Tolerance From / To: Define the minimum and maximum acceptable measurement range
Message If Failure: Message shown if the measurement is out of tolerance
Company: Specify the company that owns the product being inspected.
Instructions: Enter detailed step-by-step instructions on how the quality check should be performed. These will be shown in the QC screen during execution.
Message If Failure: Define the message that will be shown if the quality check fails. For example, entering “Create a Quality Alert” will instruct the staff on the next step to take in the event of failure. This ensures a clear and immediate response to non-compliance. This field is only displayed when the Type is set to either Pass Fail or Measure.
Note: Use this field to provide internal notes or background context about the quality check (who created it, why it was created, etc.).
Attachment: Upload relevant supporting documents, such as work instructions, checklists, or diagrams, that guide the execution of the quality checks generated by this QC.
Step 3. Once all required fields are completed, click Save.
