Maintenance template

This guide provides step-by-step instructions to create and configure a Maintenance Template, including setting up maintenance types, prefix setting, forms and template questions.  Maintenance Templates are structured forms used for defining checklists or procedures to be followed during equipment maintenance (e.g. inspection, cleaning, testing).

  • Step 1. Create a Maintenance Type Maintenance Type help categorize the templates based on the kind of maintenance performed. Go to Rental module → Settings Maintenance type Click Add In the New Maintenance Type popup, fill in the following:
    • Name: (e.g. "Inspection", "Routine Cleaning", "Technical Test")
    • Description:  Optional note describing the maintenance category

Click Save

  • Step 2. Configure Prefix Setting Automatically generate unique codes for maintenance templates. Go to Rental module → Settings Prefix Settings Find Maintenance Template Maintenance Template Code Prefix:  e.g. "MTP-" for Maintenance Template Next Maintenance Template Number: Starting number for auto-increment (e.g. 1001) Click Save
  • Step 3. Create Maintenance Template
    Define a reusable template to be applied for specific maintenance tasks. Go to Rental Settings Maintenance template Click Add
    In the New Maintenance Template, fill in:
    • Template Name: e.g. “Post-Rental Cleaning Checklist”
    • Maintenance type: Select from existing types (created in Step 1)
    • Description: Optional description of the template

Click Save

  • Step 4. Add a form to the template Click on the newly created Maintenance Template to open the Template Detail View Click Add New Form. In the Add Maintenance Template Form, fill in the following detail:
    • Name: Title of the form (e.g. “Visual Inspection”)
    • Description: Short explanation of this form’s purpose

         Click Save

A template can contain multiple forms, each for different inspection/check sections


  • Step 5. Add Questions to Form Define the checklist questions that users must respond to during maintenance. Inside the form, click New Question In the Add Maintenance Template Question, fill in the following detail:
    • Question Name: enter the content of the question or checklist item. e.g. “Is the equipment clean?”
    • Response Type: Choose the data format expected:
      • Input
      • Number
      • Textarea
      • Select
      • Multi Select
      • Checkbox
      • Date Picker
      • Datetime Picker
      • Attachment
    • Required: Check if answering this question is mandatory
    • If you select Response Type as Checkbox, the Display Inline option will control how the checkboxes appear. If Display Inline is checked, the checkboxes will be displayed in a single line, as shown in the image below. If Display Inline is not checked, each checkbox will be displayed on a separate line, as shown in the image below. Each form can contain multiple questions.

Form and Question Management

  • Edit or Delete forms/questions using the edit () or delete () buttons
  • Reorder questions and forms by dragging them and adjusting sort order.
  • To show/hide a form, use the Enable toggle
