Employees menu in HR Payroll

 HR Payroll Module -> Select the Employees menu

Note for the Employee menu, when you have entered the value or just synchronized the value, you must select the Save function. When the system switches to the Update function, the new data can be displayed in the Payroll screen

-         This screen is used to manage employee income.

-         The data at this screen will be used to calculate the Payslip menu screen when creating payroll

-         The Income rebate code column data is taken from the Income Tax Rebates screen in Settings -> the Income rebate code field enters the tax refund code, then the employee will be refunded the correct value of the Total field corresponding to the tax refund code entered. For example, if an employee is entitled to a tax refund of 2,000,000, the salary slip will be calculated according to: (Gross pay or taxable salary[received pre-tax salary] – personal income tax) + 2,000,000 = final salary received

-         The Income tax rate column data is defaulted to display the value A representing personal income tax, otherwise the value of the field can be removed.

-         The other visible columns will be taken from the Earnings list screen in Settings.

* Note: Copy function is used to copy the previous month's data and display it for the current month. For example, the screen is showing the list of April and using the copy function, the system will copy the data of March to display for April. If there is no data in March, then April will not display anything

1. Out of sync with HR Records module

When not syncing with the HR Records module, there are two ways to enter data into the display:

1.1. Manually enter the value
Proceed to point the mouse at the cell to edit data -> Enter value -> Select Save function to save the newly added data

1.2. Import value
Step 1: At the Employees screen -> select the Import Excel function


Step 2: The system will appear an import screen -> Proceed to select the month you want to import data (1) and select Create File (2) -> Select the function   to download the excel file to your computer


* Note:

o   Need to import the correct data form downloaded from the system

o   Do not add any columns or rows to the downloaded file to import into the system

o   Only values with symbols CT1, CT2, Job title, Residential address, Income rebate code, Income tax rate,... - the columns are green.

o   Don't update values for orange columns

o   CT1 and CT2 values must enter numeric values

o   Date must be entered in the correct format as “yyyy-mm-dd”

- Step 3: After editing the data directly on the excel file -> Proceed to select Choose file to upload the file to the system (4) -> select Import (5) to push the data into the system. If the import fails, go to step 4


Step 4: If the file has an error, the system will display a message -> Select Download Error File -> Carry out error correction -> Choose File -> Import


2. Synchronization with HR Records module

When allowing synchronization with the HR Records module, the system will display the Data Synchronization function used to synchronize data with the HR records module

When synchronizing with the HR Records module, the system will automatically update the equivalent values contained in the HR Records module such as contract period, salary, ...

After syncing, we can also edit, save and import data as usual
