Create Rental Product

This function allows you to create individual products and product variants available for rental. All products created here are also available for use in Inventory transactions by default.

Step to Create a New Product

  • Step 1. Go to Rental module → Products menu → Click Add to create a new product.
  • Step 2. In the New product popup form, complete the fields below:
    • Product Name: enter the name of the individual product or the parent product ( if it has variants).
    • Can be rental: check this if the product is intended for rental.
    • Can be sold: check this if the product is also for sale.
    • Can be purchased: check this if the product will be purchased.
    • General Information tab
      • Commodity Group: Select a product group for classification. Groups are created in Inventory Settings Commodity Group.
      • Barcode: Auto-generated 11-digit barcode (editable if needed).
      • SKU code: Enter the SKU code for the product.
      • Sale price: enter selling price of the product (used in Sales transactions).
      • Tax 1, Tax 2: select applicable taxes.
      • Purchase Price: enter purchase cost of the product.
      • Unit of measure: select the unit of the product. Units are created in Inventory Settings Units.
      • Do not update inventory numbers ( Stock quantity is not updated when an Inventory receipt or Inventory delivery is created for this item): enable this if the item is a service or non-stock item (inventory quantity will not be tracked).
      • Internal notes: add internal description about the product.
      • Attach images: upload product images.
    • Variants: Enter attributes to create variant products
      • Variation name: enter attribute name (e.g., “Color”, “Size”)
      • Variation options: enter attribute values (e.g., Black,White).
      • Clickto define multiple variation attributes. The system will automatically generate product variants for each combination.
    • Rental prices: configure how much the product will cost when rented:
      • Duration: enter rental duration value (e.g. 4, 7)
      • Unit: choose the time unit: Hours, Days, Weeks, Months, Years.
      • Rental price: enter rental price corresponding to the duration above
      • Clickto define multiple rental pricing options. Example: Rental price configuration for a product 1 day: $100 3 days: $250 1 week: $500 When a customer rents the product for 8 days, the system will automatically choose the option with the lowest total price: 1 day: $100 →  8 days= $800 3 days: $250 → The system will apply the "3-day" rate 3 times → 8 days= 3 × $250 = $750 1 week: $500 → The system will apply the "1-week" rate 2 times → 8 days= 2 × $500 = $1,000 The system selects the cheapest option — in this case, $750
    • Delay cost: configure late return penalties:
      • The system will auto-select Delay Cost Type based on the selected Commodity Group, if configured in Settings -> General -> Delay Cost.
      • You can override and manually select a different Delay Cost Type if needed.
  • Step 3. Click Save to finish creating the product. Simple products or parent products will appear in the Products menu. Variant products will appear in the Product Variants menu.


Editing Existing Products for Rental Use

If a product already exists (e.g. created from Inventory), you can enable it for rental:

  • Step 1. Use filters like “Can be sold” or “Can be inventory” to locate the item.
  • Step 2. Open the Edit Product form
  • Step 3. Check “ Can be rental” to make it available for rental transactions.
